How it works

  1. Step 1: Tell us your QuickBooks setup
  2. Get your export
    From PayPal, download your Activity/Transaction CSV — see exactly where to find it below.
  3. Upload & convert

  4. Import into QuickBooks
    • In QuickBooks Online:
      • Go to Bank Transactions → Upload transactions.
      • Choose the downloaded CSV file (a single file, not a folder).
      • Map Date, Description, and Amount.
      • Review the transactions before adding them.
    • Self-Employed / Solopreneur:
      • Go to Settings → Imports.
      • Then follow the same steps as above.

Step 4: Last step — ← back to your credits
Where do I get this file?
  1. In PayPal, go to Reports → Activity download
  2. Set Transaction type to Balance affecting
  3. Pick a date range and choose CSV format
  4. Click Create Report, then Download — that's the file to drop below

Amounts: written US style (1,234.56) or European style (1.234,56), with separators only between thousands and at most two digits after the decimal mark. If a number breaks that rule, or one file mixes the two styles, nothing is converted and you’ll see which row to check — a wrong amount never reaches QuickBooks.

A QuickBooks Online bank upload holds about 1,000 lines (each payment and each fee is a line). A larger file isn’t converted — you’ll get date ranges to export it in smaller parts.

Use the account names exactly as they appear in your QuickBooks chart of accounts. Any that don't exist yet are created for you.

Export it from PayPal in these date ranges and convert each one:

    Or choose Web Connect (.qbo) or QuickBooks Desktop (.iif) under “Need a different file type?” — those have no such limit.
